This Privacy Policy governs each website, mobile site, application, and/or other service, regardless of how distributed, transmitted, published, or broadcast (each, a “Service”) provided by Approach Guides and its subsidiaries and/or affiliates (collectively, “Approach Guides,” “we,” “us,” or “our”). This Privacy Policy applies to all those who access, visit and/or use the Service, whether acting as an individual or on behalf of an entity, whether you pay for, are invited to use or otherwise access, visit and/or use the Service (collectively, “you,” or “your” or “users”). At Approach Guides, we understand the importance of your personal privacy. This Privacy Policy is available to help you understand how Approach Guides handles your information. 

HOW WE COLLECT INFORMATION

Personal information is information that identifies, relates to, or can reasonably be linked to an individual, including information such as your name, email address, phone number, or professional details. Approach Guides collects your personal information in a variety of ways, including when you use, purchase or subscribe to an Approach Guides Service; when you subscribe to Approach Guides emails and notices; when you register for or participate in Approach Guides events; when you visit Approach Guides websites, mobile application or the websites or mobile applications of certain Approach Guides partners and clients; and when you download Approach Guides travel guides.

INFORMATION WE COLLECT

The types of personal information we may obtain include: 

• contact information, including your name, email address, and postal address;
• professional information, including information about your company, job title, industry, assets, or income; and
• payment information such as name, billing address and payment card details (including card number, expiration date and security code), if you are purchasing something from an Approach Guides website.

You are not required to provide this information, but if you choose not to do so, we may not be able to offer you some of the Services or features Approach Guides offers.

For users who want to use our co-branding Services (Content Experiences and Websites), you may choose to directly provide us with your business card information (email, name, phone number, company name, company logo and personal photo) and CV-related information (bio, social handles, affiliations, sales regions, sales focus).

In addition, we collect information through technology, such as cookies and pixels, when you visit our websites. For more information, please see the “Cookies and Related Technologies” section of this Privacy Policy. 

HOW WE USE THE INFORMATION WE COLLECT

We may use the personal information we obtain to:

• create and manage your profile and account;
• offer and provide features and Services to you;
• communicate with you about participation in surveys, webinars or other time-sensitive programs, promotions, newsletters, company updates, other offers you express an interest in;
• communicate with you on behalf of our clients and partners;
• display content on our websites and co-branded sites;
• automate the display of content on our websites or co-branded sites;
• process payment for your purchases, orders, and subscriptions; 
• operate, evaluate, and improve our business (including enhancing and improving our services);
• perform data analysis; and
• comply with and enforce applicable legal requirements.

We use the personal information we obtain to comply with applicable legal requirements, carry out our contractual obligations, and to operate, improve, and support our Services. Where required by law, we will obtain your consent.  

Approach Guides’s Service  creates and distributes content but does not vet, endorse or take responsibility for user-generated or advisor-personalized content. All such content reflects the views of the user and not of Approach Guides

COOKIES AND RELATED TECHNOLOGIES

“Cookies” are small pieces of information that are stored by your browser on your computer’s hard drive. Approach Guides, its clients, partners and/or third-party service providers (collectively, “Partners”) may send a cookie to your computer through your browser. Approach Guides uses cookies to track page requests and the duration of each user’s visit, and the use of cookies allows us to provide a user’s browser with information tailored to the user’s preferences and needs and to also streamline the user’s visits to our website. You can choose whether to accept cookies by changing the settings of your browser. You can reset your browser to refuse all cookies (in some cases, other than necessary cookies) or allow your browser to show you when a cookie is being sent. If you choose not to accept cookies, your experience at our websites and mobile applications and other websites/mobile applications may be diminished and some features may not work as intended. 

“Pixel tags” are tiny graphic images that tell us what parts of the website have been visited or measure the effectiveness of searches users perform on the website. We may also use pixel tags in email messages to tell us whether emails have been opened to assure that we are only sending messages that are of interest to our users.

In addition, Approach Guides automatically receives and records information on our server logs from your browser, including your IP address, Approach Guides cookie information, and the page you request.  Approach Guides uses this information to help diagnose problems with our servers, for system administration, and to examine our website and mobile application traffic in aggregate. The information may be collected and used to improve the content of our websites and mobile applications and to customize content and/or layout for each user.

Please note that Approach Guides may allow Partners that are presenting information on some of our webpages to set and access their cookies on your computer. Among other things, Approach Guides’ Partners may use cookies, pixel tags and other technologies to record which ads your browser has loaded, and which pages you may have been viewing when the ads were delivered or accessed. Among other things, these Partners may use cookies, pixel tags and other technologies to enable such Partners to record which ads your browser has loaded, and which pages you may have been viewing when the ads were delivered or accessed. Partners’ use of cookies and pixel tags is subject to their own privacy policies, not the Approach Guides Privacy Policy.

INFORMATION WE SHARE

Approach Guides does not sell personal information about you. We may share personal information as described in this Privacy Policy.

The information we share typically consists of professional and business contact details that users choose to make available in connection with their profiles and use of the Services, along with related activity data.

We may share this information with our Partners to facilitate collaboration, support co-branded experiences, and allow Partners to communicate with you about relevant products, services, or opportunities related to your use of the Services. Partners’ use of this information is governed by their own privacy policies and applicable law. You may opt out of receiving such communications at any time by following the unsubscribe instructions in those communications or by contacting us.

When you register for an event or other promotion that is sponsored by a Partner, the Partner will be provided your information unless otherwise stated in connection with the promotion. Partners’ use of this information is subject to their own privacy policies.

In addition, we may share your information with a Partner that you choose to collaborate with in connection with Co-branded Content Experiences and Websites.

We may also enable third-party partners to distribute content or information using our technology, including through their internal platforms or communications. Any outreach conducted by these partners is subject to their own privacy practices and applicable marketing laws, and we encourage you to review their privacy policies for more information.

We may disclose personal information as required by law or when we believe such disclosure is necessary to protect our rights or comply with a legal obligation.

Approach Guides provides tools to enable content distribution and automation. However, third-party partners and users are responsible for ensuring that their use of the Services for outreach complies with applicable marketing and privacy laws.

SUBPROCESSORS

We may engage sub-processors to process personal information on our behalf to assist us with hosting and infrastructure or support product features and integrations.

The following is a list of our sub-processors:

• Digital Ocean – application and database hosting; retention: until deletion
• Bugsnag – error monitoring; retention: until deletion
• Laravel – server management, backups, application monitoring; data held until deletion; retention: 1 year
• Sinch – email delivery platform; retention: 5 days
• Plausible – anonymous website analytics; retention: indefinitely
• Amazon Web Services, Inc. – hosting and storage; retention: 1 year
• OpenAI – large language model processing via APIs for AI-assisted features (no personal data used for training); retention: 30 days

YOUR RIGHTS & CHOICES

Our goal is to be clear about what information we collect, so that you can make meaningful choices about how it is used and managed. 

To update your preferences, ask us to remove your information from our mailing lists, or submit a request to withdraw your consent, please contact privacy@approachguides.com. 

• To unsubscribe from receiving future marketing and promotional emails, click on the unsubscribe link provided in our emails or contact privacy@approachguides.com.
• To withdraw your consent and request deletion of your account data, please contact privacy@approachguides.com from the email address associated with your account and use the subject line “Approach Guides – account deletion request’.

To the extent provided by applicable law, you may (1) request access to the personal information we maintain about you; (2) request that we update, correct, amend, erase; or restrict the information, or (3)  exercise your right to data portability, by contacting us at privacy@approachguides.com.  Depending on your location, if you are not satisfied with your response, you may have the right to file a complaint with a government regulator.  

OTHER ONLINE SERVICES AND THIRD-PARTY FEATURES 

Our websites and mobile applications may contain links to other websites that are not controlled by us, including, without limitation, websites owned and/or controlled by Partners. We are not responsible for the privacy practices and policies of any website other than our own.

When you or third-party partners on your behalf personalize and share co-branded content (e.g., Content Experiences, Websites), Approach Guides does not control how such content is further distributed or used. You and our third-party partners are responsible for the accuracy and appropriateness of any content they share using our Services.

Content Experiences or Co-branded Pages may include links and third-party media (e.g., videos, podcasts, articles). These materials may be hosted on our platform or third-party websites. We are not responsible for the availability, accuracy or continued accessibility of any third-party content or hosted experiences and disclaim all liability for broken, expired or outdated links, content or pages.

HOW WE PROTECT PERSONAL INFORMATION

We follow accepted industry standards to protect personal information you have provided.  We work hard to protect Approach Guides and our users from unauthorized access to or unauthorized alteration, disclosure, or destruction of information we hold. With respect to how we protect personal information, we:

• encrypt our services using SSL, in transit and at rest as well;
• review our information collection, storage and processing practices, including physical security measures, to guard against unauthorized access to systems; and
• restrict access to personal information to those of Approach Guides staff, Partners, and third parties who need to know that information in order to process it for us, and who are subject to strict contractual confidentiality obligations and may be disciplined or terminated if they fail to meet these obligations.

 

RETENTION OF PERSONAL INFORMATION

To the extent permitted by applicable law, we retain personal information we obtain about you for the time needed to fulfill the purpose for which we obtained it, in accordance with the provisions of this Privacy Policy, or we have another lawful basis for retaining the data beyond the period for which it is necessary to serve the original purpose for collecting the data. 

UPDATES TO OUR PRIVACY POLICY

Approach Guides may update this Privacy Policy from time to time by posting an updated version on our website. The “Last modified” date at the top of this Policy indicates when it was last revised. We encourage you to review this Privacy Policy periodically to stay informed about how we handle your information.
